What is anAI receptionist?

An AI receptionist is software that answers a business's phone calls in natural conversation. It greets callers and answers common questions, and depending on the product it can book appointments, take messages and transfer calls to a person, the way a front-desk receptionist would.

How it works

How a call usually goes

01
Calls are forwarded to it

You keep your business number and forward it to the receptionist's number: every call, or only the ones nobody picks up.

02
It answers in conversation

Usually there's no phone menu. The caller says what they need in their own words, and the receptionist replies the way a person at the front desk would.

03
It knows your business

Hours, location, services, prices and policies come from information you give it and approve, so it answers the questions your staff answer all day.

04
It acts on your rules

Books an open time, takes a detailed message, or transfers the call to a person, depending on what the caller needs and what you've told it to do.

05
It writes it down

After the call you get a summary and usually a transcript, so nothing depends on someone remembering to leave a note.

Honestly

What it's good at, and where a person is better

An AI receptionist is good at the calls that follow a pattern: hours, directions, prices, booking, rescheduling, taking details, and getting an urgent call to the right person quickly.

A person is still better for calls that need judgment or comfort: a distressed caller, a complicated complaint, a negotiation. A good AI receptionist should recognize those calls and hand them to a person, ideally with a short summary, rather than try to handle everything itself.

Before you choose one, ask

  • Can I call it and hear it work before I pay?
  • How does it bill: by the minute, by the call, or by the caller?
  • Does it book into my calendar, or only take messages?
  • How does it hand a call to a person, and when?
  • Does it tell callers it's an AI if they ask?
  • What languages does it speak, and what does it connect to?

Questions

AI receptionists, briefly

What is an AI receptionist?

An AI receptionist is software that answers a business's phone calls in natural conversation. It greets callers and answers common questions, and depending on the product it can book appointments, take messages and transfer calls to a person, the way a front-desk receptionist would.

How is an AI receptionist different from an answering service?

An answering service uses people to take your calls, usually billed by the minute or by the call. An AI receptionist answers with software, day or night, usually at a lower monthly price, and many can hand a call to a person when your rules say so.

How is it different from voicemail or a phone menu?

Voicemail only records a message, and a phone menu makes callers press buttons. An AI receptionist holds a conversation: it answers the caller's question, books the appointment or takes the details, and tells you what happened.

Will callers know they're talking to an AI?

A well-behaved AI receptionist never pretends to be a person and says it is an AI when a caller asks. Tylum's receptionist, Sam, does exactly that.

What does an AI receptionist cost?

Entry plans from the AI receptionist vendors we checked in October 2026 cost $49 to $150 a month, billed by the minute, by the call or by the caller. Live answering services start around $250 to $300 a month.
